Decide what the workflow must own
For a support workflow, ask for three visible outputs: the classification, a draft reply, and an escalation when the evidence is missing. Let the model interpret the message where it helps. Keep record IDs, routing rules and approval checks in code so you can test what happens when the model is wrong.
Anthropic distinguishes predefined workflows from agents that select their next steps dynamically. That distinction is useful when scoping a build; it does not mean every product fits just one category. Architecture reference.
Compare capabilities against your constraints
n8n documents per-tool human review that pauses an AI Agent before selected tool calls. Flowise AgentFlow V2 documents explicit node orchestration, shared state and resumable human checkpoints. Those capabilities overlap; neither removes the need to design permissions and test failure recovery. n8n review, Flowise architecture.
| Starting point | Candidate to evaluate | Proof to ask for |
|---|---|---|
| Existing business process across several apps | n8n | Replay a failed integration without duplicating a write |
| A conversational flow with state and branching | Flowise | Resume an interrupted approval with the same arguments |
| A tightly specified product requirement | Custom code | Trace and test the complete state transition |
These are editorial starting points, not an objective ranking or an assertion that the other options cannot support a use case. Compare the exact edition, hosting model, license and features available to your team. Verify current vendor pricing directly rather than treating a copied monthly fee as total cost.
Run one acceptance test before committing
Create a small non-production workflow with a read step, a classification and a draft-only output. Add three deliberate failures: a missing required field, an upstream timeout, and a repeated trigger. For each, specify whether the system should retry, stop or ask for help. Use test accounts and retain the execution record.
Record who maintains credentials, who owns the data store, how a deployment is rolled back and how a reviewer receives an approval. A tool that makes the first diagram easy may still need substantial operating work. n8n’s queue-mode documentation describes a main instance, Redis and workers for execution scaling; that architecture adds infrastructure to operate. Deployment reference.
Budget for useful completions
Count model calls, tool charges, retries, hosting and review time. Keep development and ongoing operating costs separate. Compare cost per verified completed workflow against the manual process with the same quality standard. Use the agent cost calculator, then read how to evaluate reliability.
Takeaway to implement: write a one-page workflow contract and run the same failure tests in your shortlisted systems. Choose based on the evidence from that test, then scope an integration.
Use a scored decision record without inventing precision
Write the constraints that eliminate an option before assigning preference scores. Required data location, an unsupported destination API or missing operational ownership can be a hard constraint. A visually attractive canvas should not offset an unmet requirement that makes the workflow unacceptable.
For the remaining candidates, record observed evidence for each acceptance test. Use a simple status such as demonstrated, unresolved or unsupported in the tested edition. Keep the exact software version and configuration beside that status. A feature described in a vendor document may still need a deployment-specific test.
End the comparison with the next experiment, not a universal winner. One team may select a managed workflow to reduce maintenance, while another needs control over deployment and code. Your decision record should let a future engineer understand why the choice made sense for the stated job and what change in requirements would justify revisiting it.
